Use Incleon responsibly and legally. Protect your access credentials. Don't try to copy, reverse engineer, or misuse the software. Respect the data you manage — it's about real people's careers.
1. ABOUT THIS POLICY
This Acceptable Use Policy ("Policy") applies to all users of the Incleon platform — whether you're an administrator, HR professional, manager, executive, or employee accessing the system.
This Policy is part of our Subscription Agreement. By using Incleon, you agree to follow these guidelines.
2. THE SHORT VERSION

✗ DON'T:
Share your login with others
Copy or redistribute the software
Attempt to reverse engineer the platform
Use data for unauthorized purposes
Circumvent security measures
Violate applicable laws
3. PROPER USE OF THE PLATFORM
Incleon is designed for succession planning, talent management, and workforce continuity. You agree to:
Use it for its intended purpose — Managing succession plans, identifying key talent, developing leadership pipelines, and related HR functions
Comply with laws — Follow all applicable employment, privacy, and data protection laws in your jurisdiction
Respect employee rights — Use the platform in ways consistent with your employees' reasonable expectations of privacy and fair treatment
Maintain accuracy — Enter truthful, accurate information and correct errors when discovered
4. PROHIBITED ACTIVITIES
You may not use Incleon to:
Security Violations
Access accounts, data, or systems you're not authorized to use
Attempt to probe, scan, or test system vulnerabilities
Circumvent authentication or security measures
Interfere with service to any user, host, or network
Introduce viruses, malware, or other harmful code
Intellectual Property Violations
Copy, modify, or create derivative works of the platform
Reverse engineer, decompile, or disassemble the software
Remove or alter proprietary notices or labels
Redistribute, sublicense, or resell access to the platform
Use Incleon trademarks without permission
Misuse of Data
Access or export data beyond your authorized scope
Use employee information for purposes unrelated to your job duties
Share confidential information with unauthorized parties
Make employment decisions based on protected characteristics
Use data in ways that violate your organization's policies
Harmful Activities
Harass, discriminate against, or harm others
Engage in fraudulent or deceptive practices
Violate any applicable law or regulation
Damage Incleon's reputation or business interests
5. ACCOUNT SECURITY
You are responsible for maintaining the security of your account:
Credentials are personal — Don't share your username, password, or MFA devices with anyone
Use strong passwords — Follow your organization's password policies
Secure your devices — Lock your computer when away, use secure networks
Report compromises — Immediately notify your administrator if you suspect unauthorized access
Log out — End your session when finished, especially on shared devices
6. RESPONSIBILITIES BY ROLE
Administrators
Platform administrators have additional responsibilities:
Configure appropriate access controls and permissions
Monitor for unauthorized access or unusual activity
Keep the platform and infrastructure updated
Maintain backups and disaster recovery procedures
Train users on proper use and security practices
Respond promptly to security incidents
Managers and HR Professionals
Those managing succession data should:
Access only information necessary for your role
Keep succession discussions confidential as appropriate
Use data to support fair, objective talent decisions
Follow your organization's policies on employee data
All Users
Everyone with platform access must:
Complete required training before using the system
Use the platform only for authorized purposes
Protect any confidential information you access
Report policy violations or security concerns
7. DATA HANDLING
Incleon contains sensitive information about your workforce. Handle it appropriately:
Need-to-know basis — Access only the data required for your responsibilities
Confidentiality — Don't discuss succession plans or employee assessments outside appropriate channels
Secure sharing — Use secure methods when sharing reports or exports
Data retention — Follow your organization's policies on how long to retain information
Disposal — Securely delete data when no longer needed
8. ENFORCEMENT
Violations: If you violate this Policy, your organization may:
Suspend or terminate your access
Take disciplinary action according to employment policies
Report illegal activity to authorities
Organizational violations: If an organization repeatedly violates this Policy, Incleon may:
Issue a warning and require corrective action
Suspend platform access pending investigation
Terminate the subscription for serious or repeated violations
We prefer to work collaboratively to address issues. Termination is a last resort for serious violations.
9. REPORTING CONCERNS
If you become aware of:
A security vulnerability or breach
Misuse of the platform or data
Violations of this Policy
Please report it immediately to your organization's administrator and, if appropriate, to Incleon at security@incleon.com.
We take reports seriously and will investigate promptly. We won't retaliate against good-faith reports of concerns.
10. CHANGES TO THIS POLICY
We may update this Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. For significant changes, we'll provide notice through the platform or via email to administrators.
Continued use of Incleon after changes take effect constitutes acceptance of the updated Policy.
